Guide Sensitive records

Submit sensitive documentswithout losing control or context.

A secure channel matters, but preparation matters too. Clear filenames, retained originals and a concise transfer note reduce risk and make the first review more useful.

Send the smallest useful initial set.

You do not need to upload an entire archive before scope has been agreed. Start with representative records and a short description of the matter, participants, relevant period and intended use. Highly sensitive data that is not needed for the first review should remain excluded.

02 File preparation

Preserve originals and make copies intelligible.

Keep the source files unchanged wherever possible. Avoid repeatedly converting documents, flattening email chains or replacing filenames with vague labels such as “scan1”. If you create working copies, keep the original set separately.

  • Use descriptive filenames containing a date, source and short subject where known.
  • Prefer the date format YYYY-MM-DD so files sort consistently.
  • Do not silently correct dates or names in the source document.
  • Group related attachments with the message or record that introduced them.
  • Flag encrypted files and communicate the password through a separate channel.

03 Secure channel

Use the protected upload, not ordinary email attachments.

The enquiry form transfers the selected documents into a protected case folder. A successful submission produces a reference number and a confirmation email. If the upload is interrupted, do not resend repeatedly: first check whether a confirmation and reference were issued.

Never place access passwords in the same message as the protected archive. If credentials are necessary, agree on a separate channel.

04 After submission

Retain your source set and the submission reference.

Keep an unchanged local copy until the assignment and retention period have been clarified. The reference number connects later messages and additional files to the correct record. Use the customer portal once access has been provided.

05 Checklist
